When you bring a new marketing agency on board, granting them access to your Google and Microsoft products is essential for collaboration. 

Whether it’s for Microsoft Ads, Google Ads, Google Tag Manager, Google Analytics, Google Business Profile, or Merchant Centre, this guide will walk you through the steps to ensure a smooth and secure handover.

Granting access to Microsoft Ads

To allow your agency to manage your Microsoft Ads:

  1. Find your account ID: Log in to your Microsoft Advertising account. Your Account ID is found on the top right.
  2. Share with your agency: Send the Account ID to your agency, who will initiate the access request through their MCC (My Client Centre).
  3. Accept the invitation: After they send the request, check your notifications in Microsoft Ads, go to the “Account access” section, and accept their request.

Permissions for Microsoft Ads

  • Admin: Full access, including user management and billing.
  • Standard: Can create and manage campaigns without access to user settings.
  • Read Only: Can view all aspects of the account without making changes.

How to remove access in Microsoft Ads

To remove access from a user in Microsoft Ads:

  1. Log in to your Microsoft Advertising account.
  2. Click on “Accounts” and select “Account access.”
  3. Find the user you want to remove.
  4. Click on the dropdown next to their name and select “Remove access.”
  5. Confirm to revoke their access.

Granting access to Google Ads

For Google Ads, the process is similar:

  1. Find your account ID: Log in to your Google Ads account. Your Account ID is located at the top right of the page.
  2. Share your account ID: Reach out to your agency and provide them with your Account ID. They will need this to send a request from their Manager Account.
  3. Accept the request: Once your agency sends the access request, you’ll receive a notification. Log in to your Google Ads account, go to “Tools & Settings,” then “Account access,” and accept their invitation.

Permissions for Google Ads

  • Admin: Full control over the account, including billing and user management.
  • Standard: Can create and edit campaigns but cannot manage user access.
  • Read Only: Can view campaigns and reports but cannot make changes.

How to remove access in Google Ads

To remove access from a user in Google Ads:

  1. Log in to your Google Ads account.
  2. Go to “Tools & Settings,” then select “Account access.”
  3. Locate the user you want to remove.
  4. Click the pencil icon to edit their access and select “Remove user.”
  5. Confirm the action to revoke their access.

If your agency will manage your Google Business Profile, here’s how to grant access:

  1. Log into Google Business Profile: Access your profile at Google Business Profile Manager.
  2. Select your business: Choose the business you want to manage.
  3. Users: Click on “Users” in the left-hand menu.
  4. Add user: Click the “Invite new users” icon. Enter your agency’s email address. For TDMP, this is google@tdmp.co.uk.
  5. Set role: Choose permissions for the agency.
  6. Send invitation: Click “Invite” to send the access request.

Permissions for Google Business Profile

  • Owner: Full control over the profile, including user management.
  • Manager: Can edit information and respond to reviews but cannot manage users.
  • Site Manager: Limited access to edit basic information without user management.

How to remove access in Google Business Profile

To remove access from a user in Google Business Profile:

  1. Log into your Google Business Profile.
  2. Click on “Users” in the left-hand menu.
  3. Locate the user you want to remove.
  4. Click the dropdown next to their name and select “Remove user.”
  5. Confirm to revoke their access.

Granting access to Google Tag Manager

To provide access to Google Tag Manager:

  1. Access your account: Log into Google Tag Manager.
  2. Navigate to User Management: Click on the account name, then select “User Management” from the sidebar.
  3. Add user: Click the "+" icon and select “Add users.” Enter your agencies email address. Again, for TDMP, this is google@tdmp.co.uk.
  4. Set account permissions: Choose the permissions you want to grant at account level (e.g., “User,” “Administrator”). Note that “User” is set by default.
  5. Set container permissions (optional): Set specific access conditions to the containers your agency will have access to.
  6. Send invitation: Click “Invite” to send the access request.

Permissions for Google Tag Manager

Account level

  • Administrator: Full access to manage users, tags, triggers, and variables.
  • User: Can edit and manage tags but cannot manage user access.

Container level

  • No Access: The user will not see the container listed.
  • Read: The user can view the container but cannot make changes.
  • Edit: The user can create workspaces and make edits but cannot publish.
  • Approve: The user can create versions and workspaces, make edits, but cannot publish.
  • Publish: Full rights to create versions, make edits, and publish.

How to remove access in Google Tag Manager

To remove access from a user in Google Tag Manager:

  1. Log into Google Tag Manager.
  2. Click on the account name and then select “User Management.”
  3. Locate the user you wish to remove.
  4. Click the dustbin icon next to their name.
  5. Confirm to revoke their access.

Granting access to GA4

For Google Analytics 4:

  1. Log in to GA4: Access your Google Analytics account.
  2. Go to admin settings: Click on “Admin” at the bottom left.
  3. User management: Under the “Property” column, select “Account Access Management.”
  4. Add user: Click the “+” icon and select “Add users.” Enter your agency’s email address. If TDMP is your agency, use google@tdmp.co.uk
  5. Select permissions: Choose the appropriate permissions for the agency.
  6. Invite: Click “Add” to send the invitation.

Permissions for GA4

  • Editor: Can create and edit properties and manage user permissions.
  • Analyst: Can view reports and configure personal dashboards but cannot edit settings.
  • Viewer: Can view reports without making changes.

How to remove access in GA4

To remove access from a user in GA4:

  1. Log in to your Google Analytics account.
  2. Go to "Admin" and select "Account Access Management."
  3. Find the user you want to remove.
  4. Click the dustbin icon next to their name.
  5. Confirm to revoke their access.

Granting access to Google Merchant Centre (if applicable)

If your business is e-commerce and uses Google Merchant Centre, follow these steps:

  1. Log into Merchant Centre: Access your Google Merchant Centre account.
  2. User management: Click on the three-dot menu in the top right corner, then select “Account access.”
  3. Add user: Click the “+” icon to invite a new user. Enter your agency’s email address. For TDMP, this would be google@tdmp.co.uk.
  4. Set permissions: Choose the necessary access levels.
  5. Send invitation: Click “Invite” to complete the process.

How to remove access in Google Merchant Centre

To remove access from a user in Google Merchant Centre:

  1. Log into your Google Merchant Centre account.
  2. Click on the three-dot menu and select “Account access.”
  3. Find the user you wish to remove.
  4. Click on the dropdown next to their name and select “Remove access.”
  5. Confirm to revoke their access.

Managing security and access

Managing access to your marketing platforms is not just about granting it — it's also crucial to maintain security:

  • Remove access when no longer required: If an agency leaves or a team member no longer requires access, promptly remove their permissions. This prevents any unauthorised access to your accounts.
  • Regularly review permissions: Periodically check who has access to your Google Tag Manager and other accounts. Remove users who should no longer have access to avoid potential issues.
  • Establish ownership guidelines: Clearly define who owns what within your Google accounts. This clarity helps in maintaining security and accountability, especially when multiple parties are involved.
  • Enable two-factor authentication: Implement two-factor authentication (2FA) for added security. This extra layer helps protect your accounts even if someone gains access to your password.
